Privacy policy

Domus Apartments DK ApS is the data controller for the personal data described here.

You can browse every apartment on this site without giving us anything. We only receive personal data when you send a booking request or a message, and then only what you type into the form:

• Your name and email address
• Your phone number, if you give it
• The apartment or area you are asking about
• Your move-in date, and your move-out date if you have one
• Who the request is for — yourself, a relocation agency, an insurance rehousing case, or a company booking for an employee
• Anything you write in the message field

Your IP address is also processed briefly when the form is submitted. We use it only to limit how many requests can be sent from the same connection, which is what keeps automated spam out of the inbox.

• To answer your request — to check availability, quote a price and take the steps that lead up to a rental agreement. Legal basis: GDPR article 6(1)(b), measures taken at your request before entering into a contract.
• To handle enquiries from agencies, insurers and companies — where you contact us on behalf of someone else. Legal basis: article 6(1)(f), our legitimate interest in responding to business enquiries.
• To keep the form usable — rate limiting and spam filtering. Legal basis: article 6(1)(f), our legitimate interest in protecting our systems.

We do not use your details for marketing, we do not profile you, and we do not sell or trade personal data.

Your request is not saved to a database. It becomes two emails — one to our team in Copenhagen, who answer it, and one confirmation to you — and it lives on in our mailbox and yours, nowhere else. Within the company, only colleagues who need it to handle your enquiry have access.

Three suppliers process it on our behalf, under instruction and only for that purpose: Railway, which hosts this website in Amsterdam and passes your request on without storing it; Resend, which delivers the two emails from within the EU; and one.com, which hosts the mailbox they arrive in. We do not otherwise disclose your data, unless we are legally required to.

The apartment listings on this site come from our own rental system, but that database never receives anything you type here.

Because your request is only ever an email, how long we keep it is how long that email stays in our mailbox. We keep it for as long as it is relevant to the conversation it belongs to, including a reasonable period afterwards in case you come back to us, and then delete it. Resend, which delivers the email, keeps its own delivery log for a short period and then discards it.

If your request leads to a rental agreement, the accounting material connected to it is kept for five years from the end of the financial year, as Danish bookkeeping law requires.

This website sets no cookies, uses no third-party analytics, and carries no advertising or social media tracking. Nothing you do here is followed across other sites, and nothing here identifies you.

We do count how often each page is opened, so we can tell which apartments people are looking at. That count is kept in our own system and records two things: which page was opened and roughly when, plus the website you followed a link from, if there was one — the site, never the search you typed. It records no IP address, no device details and no identifier, so it cannot be traced back to you or joined up with anything else. Your browser sends nothing: the count is made by our server as it builds the page.

Everything the page needs — including the fonts it is set in — is served from this site itself. Your browser contacts no third party to display it.

Under the GDPR you can ask us to:

• Tell you what data we hold about you, and give you a copy
• Correct anything that is wrong
• Delete your data
• Restrict how we use it, or object to our use of it
• Send your data to you, or to someone else, in a machine-readable format

Write to hello@domusapartments.com and we will answer within one month. If you are not happy with how we handle it, you can complain to the Danish Data Protection Agency, Datatilsynet, Carl Jacobsens Vej 35, 2500 Valby, datatilsynet.dk.

If we change how we handle personal data, we update this page and the date at the top. We do not apply changes retroactively to requests already sent to us.
